1. Purpose

Standardize how Flatland prepares and delivers the closeout package on completed roof projects so every homeowner receives the same professional, fully-documented handoff and every project is officially closed in our records.

2. Scope

Applies to every roof installation and roof repair project once final inspection has passed and final payment has been received or scheduled.

3. Responsibilities

• Production ManagerOverall responsibility for ensuring the closeout package is complete and accurate before delivery.
• Production Coordinator / Office AdminCompiles, organizes, and delivers the closeout package; confirms receipt with the homeowner.
• SalesProvides any sales-side documents (signed contract, change orders) needed for the packet.

4. Closeout Triggers

The closeout process begins when all of the following are true:

• All work outlined in the contract is complete.
• Final inspection has passed (see Final Inspection with Code Department).
• Final payment has been received or is scheduled for release.

5. Required Documents

Every closeout packet must include:

• Project Completion Certificate — signed document confirming completion.
• Warranty Information
• Manufacturer's material warranty.
• Flatland workmanship warranty.
• Lien Waivers — signed waivers from all subcontractors and suppliers.
• Permit Documentation — finalized building permits and inspection approvals.
• Invoices and Payment Records — copies of all invoices and proof of final payment.
• Change Orders (if applicable) — every approved change order from the project.
• As-Built Drawings (if applicable) — revised drawings showing final construction details.
• Maintenance Recommendations — guidelines for roof maintenance and longevity.
• Contact Information — emergency and warranty contacts at Flatland.

6. Organize the Packet

Assemble the documents in a clear, logical order in either a printed binder or a shared digital folder. Use the standard six-section layout:

A short, formal closeout letter accompanies every packet. It must include:

• Project name and address.
• Confirmation that the project is complete.
• Summary of the documents enclosed.
• Contact information for future questions or warranty claims.
• Brief expression of gratitude for the homeowner's business.

8. Deliver the Packet

Deliver the packet via the homeowner's preferred method:

Physical Delivery

• Schedule a delivery time with the homeowner.
• Obtain a signature of receipt.

Electronic Delivery

• Share a link to a secure digital folder containing every document.
• Confirm receipt with the homeowner via email or phone.

9. Archiving

Archive a complete copy of the packet for company records:

• Physical archive: filed with the project folder at the office.
• Digital archive: uploaded to ProLine and CompanyCam under the project record.

10. Timeline

Prepare and deliver the closeout packet within 14 days of final project completion and payment.
