1. Purpose

Define the standard role, use case, and integration of the four core software tools used across every residential roofing project at Flatland Roofing & Insulation. Following this SOP keeps customer data, project documentation, and insurance claims accurate and consistent.

2. ProLine Customer Relationship Management (CRM)

Purpose: Customer management and communication.

Standard Use

  • Customer communication: send updates, reminders, and follow-ups directly from ProLine.
  • Estimating: generate accurate estimates that include labor and material costs.
  • Cost tracking: track every cost tied to a job to keep projects on budget.
  • Payment collection: use the ProLine payment portal to invoice customers and collect securely.
Key integration ProLine is synced with CompanyCam — project photos and documents flow directly into customer profiles.

3. EagleView

Purpose: accurate property measurements.

Standard Use

  • Request EagleView reports to obtain precise roof and property measurements before estimating or planning a job.
  • Use the data to calculate material needs — minimizing waste and ensuring accuracy.
  • Import measurements into ProLine or other estimating tools as needed.
Key integration EagleView ensures measurement accuracy for estimates and aligns with claims processing in TotalScope.

4. CompanyCam

Purpose: project documentation and organization.

Standard Use

  • Capture detailed photos of every job site before, during, and after completion.
  • Use the checklist feature to mark project milestones as they're hit.
  • Scan and upload contracts, permits, insurance documentation, and other records.
  • Sync all photos and documents to ProLine for seamless integration with the customer profile.
Key integration CompanyCam is the documentation hub — all photo and document data is accessible and organized inside the ProLine profile.

5. TotalScope

Purpose: claims and supplement management.

Standard Use

  • Process insurance claims for residential projects through TotalScope.
  • Submit supplements to insurance companies so all work, materials, and unforeseen expenses are accounted for.
  • Maintain accurate records of every claim document for compliance and smooth processing.
Key integration TotalScope aligns with EagleView measurements and CompanyCam photo evidence to validate claim line items.

6. Compliance & Updates

  • Every team member follows these procedures when using the listed tools.
  • Tool or workflow changes are communicated through team meetings or internal memos.

7. Training & Support

  • New hires complete training on every tool during onboarding.
  • Ongoing support is available via tool-specific guides or by contacting the respective software support team.
